Privacy Policy
This service handles recordings of real phone conversations. That deserves a specific policy rather than a generic one, so this describes exactly what is captured, who touches it, and how long it lives.

1.Two kinds of people, two roles
Our customers — the businesses that subscribe. We are the data fiduciary for their account details.
Their callers— the people who ring our customers' phone numbers. For that data we act as a processoron our customer's instructions. The business you called is the one that decides why the call happened and how long the record is kept.
If you are a caller and want your data removed, contact the business you called. You can also write to us at privacy@verbalops.com and we will pass the request on and act on their instruction.
2.What we collect on a call
- Phone numbers— the caller's number and the number dialled.
- An audio recording of the conversation.
- A transcript generated from that audio.
- Details the agent was configured to capture — for example a name, a service enquired about, or whether an appointment was booked.
- Call metadata — time, duration, outcome, and which agent answered.
We do not intentionally collect payment card numbers, government identifiers, or health records. Callers can nonetheless say anything on a call, so recordings are treated as sensitive by default.
3.From our customers
Name, business name, email address, phone number, billing details, and the configuration you give your agent. Payments are processed by our payment gateway; we do not store your card details.
4.Why we process it
- To answer and place calls — the service you asked for.
- To show you your calls, transcripts and leads in the dashboard.
- To meter usage and bill you accurately.
- To diagnose faults and improve reliability.
- To meet legal and tax obligations.
We do not sell personal data, and we do not use your call recordings to train our own models.
5.Who else processes it
Delivering a phone call needs several providers. Each receives only what its job requires:

6.Where it is stored, and for how long
Data is stored on cloud infrastructure in India for Indian customers. Customers outside India may have their data stored in their own region. Some sub-processors operate internationally, so call data may be processed outside your country.
- Recordings and transcripts — retained for the life of the subscription unless a shorter period is agreed, then deleted 30 days after the account closes.
- Call metadata and usage ledger — retained for as long as tax and accounting law requires.
- Account and billing records — retained for eight years, as Indian company law requires.
A customer can ask us to delete a specific call or an entire history at any time.
7.How it is protected
- Encrypted in transit and at rest.
- Recordings are never served from a public link. Playback is streamed through an authenticated request tied to your session, so a copied URL is useless to anyone else.
- Each business's data is isolated, and every query is scoped to the signed-in account.
- Access by our staff is limited to what support requires.
No system is perfectly secure. If a breach affects your data we will notify you and the Data Protection Board as the DPDP Act requires.
8.Your rights
Under India's Digital Personal Data Protection Act, 2023 you may ask us to access, correct, or erase your personal data, and to withdraw consent. Customers in the EU or United States may have comparable rights under GDPR or state privacy laws.

9.Cookies
The marketing site uses only what is needed to remember your theme preference. The dashboard uses a session cookie to keep you signed in. We do not run advertising trackers.
10.Grievance officer
As required by the DPDP Act and the IT Rules, complaints can be sent to the grievance officer at privacy@verbalops.com, or by post to VerbalOps, 7H9V+9H5, Turkayamjal, Telangana 501510, India.
